Job Description:
Southwestern University, located in Georgetown has an immediate
opening for a Visitor Relations Assistant for Enrollment Services.
This position is responsible for coordinating main-line phone
traffic for the Enrollment Services division, which includes
answering general questions, directing calls to appropriate
individuals or departments, and scheduling appointments for campus
visitors including tours, information sessions, and interviews.
This is a full-time, fully benefited, non-exempt position who
reports to the Director of Transfer Recruitment.Primary Duties:
Answer multi-line phone for the Enrollment Services division
(Admission & Financial Aid).Screen and direct calls for the vice
president, directors, and admission and financial aid
counselors.Provide excellent customer service to students,
families, and others over the phone and in person.Answer basic
questions regarding visitation, tours, and the admission and
financial aid process.Schedule/coordinate multi-faceted campus
visits, which may include tours, info sessions, interviews,
classroom visits, and professor meetings.Work with the School of
Fine Arts on scheduling auditions or portfolio reviews.Work with
coaches on scheduling recruited athletes and students requesting
coach visits.Work with SHARP (student employees) to coordinate
certain aspects of visitor schedules.Use database system (Slate) to
coordinate daily visits and update student files, as needed.Prepare
individual visitor itineraries and daily visitation rosters.Manage
and respond to inquiries from Southwestern's website chat
feature.Manage main calendar and schedule appointments for the
Enrollment Services division.Manage and respond to voicemail and/or
direct messages, as needed.Frequent email communication with
students and parents using excellent writing skills.Maintain a
monthly report which tracks visits to campus.Perform back-up to
front-desk duties.Provide support for Event Coordinator and
Information Specialist, as needed.Conduct research and data entry
projects for the division, as needed.Create documents for office
use, print labels for events.Stay up to date on admission processes
and deadlines.Perform other duties as assigned.Position
Requirements:Educational:High School diploma or equivalent.Job
related experience and skills:One or more years of office/clerical
experience.Ability to handle a multi-line phone system.Excellent
oral, written, and interpersonal communication skills.Commitment to
providing outstanding customer service, including outstanding
telephone etiquette and listening skills.Ability to work both
independently and as a member of a team.Ability to establish,
maintain, and accurately file alphabetically and
numerically.Possess excellent spelling, grammar, punctuation,
proofreading, and writing skills.Ability to read, understand, and
follow written and verbal instructions.Demonstrated prior
experience with data entry and mail merge documents.Excellent
organizational skills and the ability to multi-task with a keen
attention to detail.Flexibility regarding changing priorities and
fluctuating schedules.Excellent conflict resolution skills and an
astute problem-solving ability.Possess the applications of tact,
diplomacy, sensitivity, and confidentiality.Ability to coordinate
and manage calendar schedules, travel arrangements, meeting
arrangements, and other related activities.Ability to attend work
consistently and maintain a regular work schedule.Ability to work
in a typical office environment, with or without
accommodationsPhysical/Mental:Ability to sit for extended periods
of time.Ability to reach, twist, bend, stoop, stand, kneel, handle,
push/pull, and lift and carry up to ten pounds.Ability to hear,
see, and speak.Preferred Position
Requirements:Educational:Secretarial/trade school.Some college
education.Experience:Three years office/clerical
experience.Experience working in a college/university
environment.Job related skills:Excellent computer skills utilizing
software such as Microsoft Word and Excel, email software, and
