Job Description:

Reporting directly to the Civil Division Chief, the Legal Assistant II is responsible for providing confidential high-level support to the Civil Division of the County Attorneys Office.

EXAMPLES OF WORK PERFORMED
  • Assists the Civil Division Chief in communicating and following up on directives to the entire division
  • Executes responsibilities for preparing correspondence, motions, orders, briefs and other legal documents as requested by the Civil Division Chief and Assistant County Attorney - Civil
  • Assists with the preparation of discovery, subpoenas, briefs and other time sensitive legal documents
  • Assists with records management and filing
  • Coordinates witnesses during time of litigation and scheduling depositions
  • Assists in the process of settlement of damage claims
  • Serves as liaison between the County Attorneys Office and Elected Officials, department heads and representatives of other governmental entities, as well as with members of the general public
  • Functions as a resource for outside agencies which have business with the Williamson County Attorneys Office
  • Works closely with the Local Mental Health Authority, social/case workers, local/state hospitals, and the Health and Human Services Commission
  • May be the first point of contact for intake of application from social worker or public requesting assistance in filing cases involving persons in need of involuntary commitments or other mental health related matters; attends commitment hearings as necessary
  • Processes and drafts motions and orders, set hearing dates, notifies parties of hearing dates and coordinates transportation for patient to attend hearings as required
  • Assists the Civil Division and County Attorney with new programs and office procedures
  • Exhibits and ensures proper customer service is provided at all times
  • Communicates with the County Attorneys Office staff/prosecutors, private attorneys, local mental health authority counselors, jail staff, courthouse personnel, citizens and outside agencies
  • Provides confidential high-level assistance to the Civil Division and County Attorney
  • Attends and coordinates meetings as assigned by the Civil Division Chief, the Office Administrator, Chief of Staff, or the County Attorney
  • Prioritizes calls/electronic communications for the Civil Division, referring inquiries as appropriate and giving information as required
  • Supports the Assistant County Attorney Civil with Public Information Act Requests (PIA)
  • Supports the Assistant County Attorney Civil with civil mental health commitment cases
  • Responds to incoming telephone calls, takes messages and routes to appropriate person
  • Exhibits and ensures proper customer service is provided at all times
  • Performs other duties and related special projects as assigned

PHYSICAL DEMANDS
  • Position involves prolonged sitting at a workstation, prolonged reading, visual examination of documents, reaching, walking, twisting, bending, repetitive motions and standing
  • Position involves occasional lifting and carrying of up to fifty (50) pounds and exertion of up to twenty-five (25) pounds of force to move objects
ENVIRONMENTAL FACTORS
  • Work is primarily indoors in an air-conditioned environment

  • High school diploma or equivalent
  • Education and experience equivalent to a Paralegal/Legal Assistant Certificate
  • Ability to interpret statutory, regulatory and procedural requirements
  • Strong organizational skills and proven ability to maintain accurate, detailed records that will be audited periodically
  • Ability to work under pressure in a high-volume office, produce accurate work and meet established deadlines
  • Ability to exhibit a high level of confidentiality and integrity while handling sensitive matters
  • Demonstrate a high level of initiative and responsibility and work independently
  • Excellent interpersonal, oral and written communication skills
  • Working knowledge of Microsoft Office Suite
  • Possess or obtain a valid Texas drivers license within 90 days of hire
  • Possess and maintain a satisfactory Motor Vehicle Record
PREFERRED QUALIFICATIONS
  • Five (5) years of experience working in a fast-paced legal environment with previous public-sector employment
  • Working knowledge of county government and civil law procedures
