Position Summary:

The Intake Coordinator is responsible for performing the administrative and coordination functions of the Community Service Utilities Assistance Program. The position reports to the Program Director and operates under moderate supervision with little latitude for the use of independent judgment, discretion, and initiative.

Essential Job Duties:

  • Assist with coordinating applications, maintaining accuracy for a shared application tracking spreadsheet, work with paper and online application program and database, verify application accuracy, update client regarding application status through via email or mail ACCURACY IS ESSENTIAL
  • Delivering program requirements to clients, answering frequently asked questions regarding the program process, and provide referral information
  • Manage outlook email inboxes for support to Community Services
  • Provide general office and clerical support to the program to include answering the program phone line, returning voicemails, mail distribution for input and output for the Community Services program, electronic filing, departmental office supply ordering, and other duties in support of the operation of the Program, to include data entry
  • The position must obtain a general understanding of the rules, regulations, and program requirements of the CEAP & CSBG programs. (TDHCA)
  • The position must obtain the knowledge to complete an application and gain the internal knowledge of how an application moves from intake to processed per program
  • The position must obtain the knowledge of all benefits provided by Community Services
  • Manage vendor contracts including setting up new vendors in the system, making changes to vendor contacts as needed, verifying vendor information for accuracy.
  • The position must obtain general knowledge of all services provided by the agency (OWBC) and maintain immediate access as to how to provide referrals

  • Regular and punctual attendance is an essential function of the position
  • Perform other duties as assigned or as they become apparent

Minimum Qualifications:

Education and Training:

  • High School diploma or GED.

Experience:

  • Prefer two (2) years of social services or related experience.
  • Prefer one (1) year of experience with Microsoft Office 365, Sharepoint, and Adobe DC
  • Must be Bilingual in English/Spanish

FGrasping/Holding-holding binders, phones, tablet, work resources

FBalancing standing, reaching,

FLifting/Carrying-report binders, paper, laptop, supplies up to 45 lbs.

FVision computer, phone, writing, typing communication with clients and co-workers

FPushing/Pulling open/close file/copier drawers, open & close doors, rolltop carriers

OOther

FReaching-to answer phone, reach files, reports, plug in a laptop

Working Conditions:

  • Working in a fast-paced environment with priorities and plans that may change rapidly.
  • Working on weekends, evenings and some holidays may be required.
