Job Description:
Southwestern University, located in Georgetown has an immediate
opening for an Administrative Assistant for the Dean of Students &
Director of Residence Life. The Administrative Assistant
coordinates administrative functions for the Dean of Students and
the department of Residence Life and represents those offices to
internal and external stakeholders. This position serves as the
primary liaison for the Dean of Students/Director of Residence Life
with key offices across the University. This is a full-time, fully
benefited, non-exempt position who reports to the Dean of Students
& Director of Residence Life.Primary Duties: The offices of the
Dean of Students and Residence Life receive the administrative
support they need to operate efficiently and effectively.Provide
administrative support to Dean/Director and Coordinators as
needed.Serve as the front-line staff person for the Student Life
suite, including answering and directing phone calls, receiving
students and visitors, and receiving and coordinating delivery of
time-sensitive packages.Serve as a liaison with various campus
departments regarding coordination of meetings, timely
communication, and other activities.Visitors who call or enter the
Student Life suite are welcomed and assisted directly whenever
possible, or referred to the appropriate office when
appropriate.Understand and assist with administrative components of
core processes such as housing assignments, submitting work orders,
check-in and check-out of residence halls, and student conduct
hearings.Answer questions about residential student matters
including housing rates and deadlines, meal plan options, and
housing regulations.Answer questions about conduct-related matters
including code of conduct, Honor Code, hearing processes, and
appeals.Special events are professionally executed and
annual/semesterly processes run smoothly.Order supplies, awards,
decorations for student events to support high attention to detail
and a celebratory atmosphere.Support DOS and Residence Life staff
during recurring processes such as RA training, opening, Welcome
Week, closing, and training for Honor Code Council and University
Committee on Discipline.Occasionally staff the Student Life office
on an evening or weekend day during opening, Welcome Week, closing,
Sprog.Perform other duties as assigned.Position Requirements: Five
or more years of office/administrative experience.Commitment to
providing outstanding customer service, including excellent
telephone etiquette and listening skills.Conflict resolution
skills, ability to problem-solve, and flexibility regarding
changing priorities.Excellent organizational skills and the ability
to handle multiple tasks with attention to detail, diplomacy,
sensitivity, and confidentiality.Ability to quickly learn
institutionally specific software such as Google Workspace,
Ellucian Colleague, The Housing Director, etc.Good spelling,
grammar, punctuation, drafting, and proofreading skills.Excellent
written and verbal communication skills.Ability to work both
independently and as a member of a team.Ability to work in a
typical office environment, with or without accommodationsPreferred
Position Requirements:Prior experience in higher education,
education-related, or other non-profit organization.Two years of
college, Associate's degree, or equivalent work
