Position Summary: This position provides supervision and support of clinical operations, clinical staff, and patients. Manages personnel to ensure appropriate allocation of resources in providing quality patient care. Ensures clinical staff are qualified and competent to perform duties for best outcomes for patients, providers and organization.Essential Duties and Responsibilities:The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive. Other duties may be assigned.* Provides and facilitates patient centered care and patient flow and serves as a resource to clinical employees for clinical and managerial support.* Promotes and participates in interdisciplinary patient care planning and education.* Assesses appropriate level of care for patient population.* Elevates utilization or care plan issues to leadership as appropriate.* Ensures effective use of resources, equipment and supplies.* Identifies and adjusts staffing levels needed to meet changing workload projections and provide safe, quality patient care.* Ensures smooth and efficient patient care management.* Assists with the development of budgets and works with the rest of the leadership team to ensure that targets are met.* Serves as a resource to patients, families, physicians, and clinical staff by interpreting policies and facilitating care.* Provides departmental leadership by demonstrating effective communication skills, problem solving, and proactive conflict resolution to internal and external customers in situations.* Hires, leads, develops, and evaluates staff in a manner that promotes engagement, productivity, and ensures competencies.* Mentors staff to increase clinical skills, critical thinking, problem solving skills and promote retention.* Conducts individual and team goal setting, performance planning and evaluation.* Supports change and participates in the development, interpretation, implementation and evaluation of process improvement and quality management activities. Works with staff to make necessary changes.* Other duties as assignedOversight Back Office Support Include:* Makes sure rooms are stocked appropriately; instruments are cleaned and sterilized properly; medical supply levels are appropriate; pathology books are kept up based on standards of practice; melanoma registry is up to date based on state standards of reporting and oversee medical supply ordering* Assure staff is following company policies and procedures* Handle disciplinary problems as needed in conjunction with other managers and Practice Administrator* Coordinate regular staff meetings, education and staff trainings in conjunction with other managers and Practice Administrator* Train new employees on policies and procedures, including EMR and other systems* Complete 90-day and annual performance evaluations with input from the provider* Time card monitoring, corrections and additions for all punches with approval for submission through Ace Payroll twice a month.Patient Care Oversight-* Assist the physician or mid-levels providers in all aspects of patient care- procedures, callbacks, scheduling procedures, tests outside the office and follow up as needed* Room patients and enter pertinent data in the EMR* Gives patient test results as directed by the provider* Wound care/suture removals and documentation. Act as resource to other medical assistants* Administers injections as needed* Provide patient education and teaching as directed by provider-wound care, self-injections* Specimen handling-appropriate and timely handling including labeling, logging, calling results to patients, documenting in the path book according to CLIA regulations and requirements* Run Prescription Monitoring Program reports for the Mohs patients daily. Train staff on PMP* Review LabCorp reports daily, distributing them appropriately. Monitor infections, document and notify appropriate physicians.* Resource for iPledge: information for staff and patients; ability to confirm any provider's patient when needed* Order tests outside office as requested by providers-specialized labs, imaging, referrals.Medical Records Oversight* Document conversations, prescription refills, wound checks and injection administration in the EMR* Ensure all drug allergies are documented in the chart* Review EMR and path book to ensure that the patient has completed testing required and has returned for regular follow up appointments* Return phone calls promptly and courteously, with provider guidance as needed* Refills prescriptions according to provider established guidelines* Insure the patient has a clear understanding of the instructions or information presented and has questions answered to their satisfactionProficiency Oversight* Maintain employee's certifications necessary to the performance of their duties, such as CPR* Attend physician and office staff meetings as necessary* Keep current on new trends in medical assisting techniques* Visit with pharmacy reps when time allows* Keep current with CPR, bloodborne pathogens, safety training, TB testing and HBV vaccinations.HIPAA Oversight* Attend all meetings and training sessions* Complies with all aspects of patient rights and Privacy Rule* Insures that back-office staff is adhering to HIPAA standards* Reports to Privacy Officer any areas where Protected Health Information (PHI) may be compromisedQuality Measures Oversight* Work with Front Office Manager to coordinate Meaningful Use and PQRS measures.* Keep providers and staff up to date on requirements necessary for compliance* Report the measures for PQRS/MIPS/MACRAIT/Computer Oversight* Resource for all providers and staff and the first person they call with a problem* Contact with vendor for all EMR chart issues and fix the problem and inform staff of needed changes to workflowLab/CLIA - OSHA Oversight* Work with lab personnel for the biannual CLIA inspection* Insure that staff is aware of requirements for inspection* Be present with lab director and personnel at the inspection, assisting with gathering the information the inspector needs* Obtain the monthly lab specimen reports, document and utilize to improve accuracy with specimens* Maintain all OSHA training and required documentationExperience and Education Requirements* LVN preferred* Prior clinical supervision experience, preferred* Prior management experienceKnowledge, Skills and Abilities Requirements* Must possess a strong knowledge and understanding of clinical care as normally obtained through the completion of an associate's degree in nursing, health care or related field.* Must possess a strong knowledge of clinical operations as normally demonstrated through 1-2 years of experience with relevant to patient population.* Must have the ability to develop and maintain working relationships with physicians, staff, patients, and families.* Knowledge of the requirements of applicable regulatory and accreditation agencies* Excellent human relations and communication skills.* Must possess dependability and commitment to the company mission and vision.Supervisory Responsibilities* Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.ADA Compliance: The Company is committed to complying with the Americans with Disabilities Act.
