The Administrative Assistant to the President/CEO will be responsible for all administrative aspects of the President's office and other support for the Executive and Senior Leadership Team. Experience as an Administrative Assistant along with a strong ability to multi-task, organize and prioritize work, and a service-minded approach in all aspects of the position will be essential to your success. As an Administrative Assistant at The Wesleyan, you will be an integral part of a mission and values-based organization that provides endless opportunities for career growth.Essential Job Functions:Answer phones and transfer calls as needed; take and deliver messages to the appropriate persons.Respond to all emails/requests in a timely and professional manner.Purchase and/or order supplies and office groceries as needed.Proofread and edit correspondences and documents from the President/CEO and/or Executive Staff/Senior Leadership Team.Coordinate events as needed, including meeting set-up and coordination of logistics.Update, maintain and distribute an internal Wesleyan phone directory.Manage President's and his team's calendars.Coordinate and schedule conference calls or virtual meetings for corporate office staff.Coordinate travel arrangements for the President/CEO and/or corporate office staff as requested.Code President's company expense receipts for Accounting Department.Prepare and upload vendor invoices into accounting system.Perform review of weekly check register and log beginning/ending check numbers.Prepare various reports as needed.Manage online BoardEffect portal: creating meeting events, uploading meeting materials, adding/deleting members, etc.Schedule and notify Board/Committee members of all upcoming meetings.Plan and prepare for all Board/Committee meetings, including creating and submitting catering requests when needed for in-person meetings.Attend all Board/Committee meetings, recording the meeting minutes.Type meeting minutes and email to staff members for review and approval prior to uploading into BoardEffect portal.Prepare new Board member letters and packets. Assist facilities with any required yearly applications by providing current Board information when requested.Maintain all Board member files, forms and meeting files.Address and mail Board member birthday cards.Provide any requested materials to auditors for yearly audit.Assist other corporate staff as needed.Perform other duties as assignedQualifications & Experience:A bachelor's degree in business or other related field preferred.A minimum of five years' experience in an executive administrative position.Proficiency in Microsoft Word, Excel and PowerPoint.Proficiency in BoardEffect preferred and experience with SAP Concur a plus.Excellent verbal and written communications skills. Ability to organize and prioritize work.Ability to multi-task effectively.Ability to work independently with little supervision. Ability to be proactive and anticipate next steps or needs.Ability to maintain a high level of confidentiality.
