Procurement Coordinator is responsible for supporting the
estimating and procurement teams by managing the request and
collection of subcontractor and supplier quotes during
pre-construction, facilitating vendor onboarding, and coordinating
the post-award procurement process. This position plays a key role
in ensuring that project procurement is executed accurately,
efficiently, and in alignment with company procedures and project
timelines. YOUR ROLE • Coordinate the solicitation and collection
of vendor and subcontractor quotes in support of the estimating
team. • Track quote status, follow up with vendors, and ensure
timely delivery of pricing for bid deadlines. • Facilitate the
onboarding of subcontractors and suppliers, including execution of
Master Service Agreements (MSAs), collection of required insurance
certificates, and verification of job-specific insurance coverage.
• Issue Letters of Intent (LOIs) to selected subcontractors and
suppliers upon award. • Prepare and submit Purchase Proposals
(PPOs) and Master Purchase Orders (POs) in Viewpoint Spectrum. •
Compile initial project setup documentation to include in PPO
packages for handoff to project management. • Maintain accurate
procurement and onboarding logs to ensure visibility and tracking
across departments. • Work closely with estimators, project
managers, and accounting to ensure a seamless transition from bid
award to job start. • Assist in maintaining and organizing vendor
records, insurance documentation, and compliance tracking. •
Support procurement process improvements and system optimization. •
Serve as a central point of contact between estimating, operations,
and accounting to ensure a smooth transition from preconstruction
to execution. WHAT YOU BRING • Minimum of 2-4 years of experience
in construction procurement, estimating support, or contract
administration. • Familiarity with construction subcontracting,
vendor onboarding, and insurance compliance requirements. •
Proficient in Viewpoint Spectrum (required) and Microsoft Excel,
Word, Outlook, and other Office Suite tools. • Highly organized and
detail-oriented, with strong communication and follow-up skills. •
Ability to manage multiple tasks in a fast-paced environment and
meet time-sensitive deadlines. • Working knowledge of construction
terminology, materials, and subcontractor/vendor scopes of work. •
Experience with civil infrastructure, utility, or public-sector
construction projects. • Knowledge of public agency compliance and
documentation requirements (e.g., TxDOT, CoSA). • Understanding of
procurement workflows and preconstruction handoff procedures. •
Familiarity with subcontract writing or purchase order workflows in
ERP systems. PHYSICAL REQUIREMENTS This position is primarily
office-based and requires the ability to sit or stand at a desk for
extended periods while using a computer and phone. The role
involves frequent use of standard office equipment, including
computers, printers, and telephones. Occasional movement throughout
the office to attend meetings or retrieve files is expected. The
role may require occasional lifting of boxes or materials up to 15
pounds. Regular communication—both written and verbal—is essential,
as is the ability to focus in a busy, deadline-driven environment.
No strenuous physical labor or fieldwork is required. PRE-SCREEN
